Receptionist

ORGANIZATION: SHELTER, Inc. is an independent, community-based non-profit organization created in 1986 to lead Contra Costa County's effort to eliminate homelessness. We now serve Contra Costa, Solano, and Sacramento Counties.

MISSION: To prevent and end homelessness among low-income, homeless, and disadvantaged families and individuals by providing housing services, support and resources that lead to self-sufficiency.

PURPOSE of ROLE: This position is responsible for answering and returning telephone calls, greeting visitors at the reception area and contacting staff if there is an appointment or any other appropriate service needs and duties as assigned.

RESPONSIBILITIES:

Answers telephone, directs calls, greets clients and visitors at reception as needed

Acts as liaison for clients

Provides information regarding services provided by SHELTER, Inc.

Attends SHELTER, Inc. internal meetings and outside trainings as assigned

Retrieves messages off voice mail, directs to appropriate staff, documents and returns phone calls as needed

Keeps front desk visitors log updated and prepares monthly and quarterly reports of those totals if needed

Keeps reception desk resource materials stocked

Maintains a clean and organized reception area

Accepts in-kind donations and rent checks, issues receipts

Typing, copying, sorting, categorizing, shredding, faxing, emails and filing of documents and emails

Maintain agency PowerPoint overview and present to new staff

Maintain reception Playbook and update as needed

Coordinate reception coverage with team members when out of office

Data entry into computer system applications and spreadsheets

Order office supplies for agencys various sites

Maintains supply room tidiness

Responsible for organizing and arranging all supply orders

Maintains inventory of basic provisions for the agency

Stocks all kitchens with supplies at the corporate office

Maintains office equipment, postage meter, copiers including toner and supplies

Complete check requests, credit card reconciliation and expense reports

Deliver, sort, and pick up mail, routing mail to appropriate team

Performs other duties as assigned

Enthusiastic and positive attitude with clients of different socio-economic backgrounds

Patience and helpful demeanor, and ability to remain calm especially in high stress situations

Professionalism, including maintaining confidentiality and setting boundaries

Excellent verbal and written communication skills

Adaptability

Timeliness

Able and willing to learn basic information quickly

MINUIMUM QUALIFICATIONS:

Experience working with low income and/or homeless or underserved populations

Intermediate computer skills including experience with Microsoft Word, Outlook, PowerPoint and Excel

Must successfully pass a criminal background check

High School diploma or GED certification

Type 35 words per minute

Must drive personal car on behalf of agency business and have a DMV record that permits driver to be insured under SHELTER, Inc.s automobile coverage

Bilingual English/Spanish

The employee must frequently lift and/or move up to 50 pounds and occasionally lift and/or move up to 50 pounds.

Hours are generally 8:30am-5:00pm but could require some overtime and flexibility. This position is an in-person role.

There are no unusual environmental conditions. Typically, the noise level in the work environment is quiet.
